Flight Management Coordinator

REPORTS TO: Manager Flight Management

FLSA CLASSIFICATION: Non-Exempt Hourly

SCHEDULE: Must be flexible to work nights, weekends and holidays to support a 24x7x365 operation

The Flight Management Coordinator plays a key role in ensuring the seamless, safe, and accurate tracking of flights, which drives the success of our brand and company. With an added focus on real-time coordination, operational communication, and logistical execution, this position serves as a primary link between flight crews, vendors, internal teams, and airport facilities ensuring exceptional trip delivery and service consistency.

In partnership with the Operations Command Center, this role assists the Flight Management team to execute and uphold best practices across every flight operation. Additionally, this position serves as a key point of contact in managing aircraft movements, pre- and post-flight communication, and supporting the operational workflow that defines Sentient Jet’s premium service experience.

Essential skills include strong interpersonal communication, multitasking, aviation knowledge, and a consistently proactive approach. Flight Management Coordinators in this department are continuously innovating to enhance flight execution, operational efficiency, and client satisfaction.

What you will do…

  • Deliver world class customer service through consistently and accurately executing proven workflow processes
  • Track aircraft movement on all flight legs of a trip
  • Prompt and concise communication with crews, the internal Command Center, support teams, vendors and Sr. Management
  • Communicate with flight crews and dispatch to ensure all details are accurate
  • Confirm catering and ground vendor service delivery is on time and accurate
  • Work with airport facilities to arrange timely handling of aircraft and vendors
  • Collect flight times from flight crew and dispatch for accurate billing
  • Complete a Daily Flight Review (DFR); identify potential issues, provide creative solutions and put together an execution/communication plan.
  • Complete operations and aircraft review to include but not limited to, airport analysis, aircraft performance, weather synopsis, NOTAMs review, airport slots and FAR compliance.
  • Obtain FAA or facility reservations, PPR’s, and special event fees when needed
  • Perform additional related office support duties and projects as requested.

  • Ability to learn, aircraft performance, aviation weather and aviation regulations.
  • Excellent interpersonal skills in order to communicate effectively with flight crews; obtain accurate information and make sound decisions
  • Ability to provide high quality customer service. Ability to withstand significant pressures driven by volume, pace and challenging interactions
  • Must by self-motivated, detailed oriented, organized and possess the ability to multi-task
  • Ability to handle confidential and proprietary information is critical
  • Proficiency with computers is mandatory (MS Word, Excel, Outlook, etc.)
  • Flexible and adaptable to changing processes
  • Requires schedule flexibility, this entry level Flight Tracking role is a shift position with weekend and holiday requirements.

Preferred Prior Experience:

  • Bachelor’s degree with a preference for science or operations focus or related experience
  • Aviation operations experience in a service environment is helpful
  • Strong analytical skills
